Privacy policy.

It is important that you know that we take our data privacy responsibilities very seriously at SofieGeorgia, and we want you to understand and feel confident about how we collect and store your personal data.

Our new updated privacy policy (in line with the new GDPR data protection law which came into effect 25th May 2018) explains all of this, and sets out the rights you have in relation to your personal data.

What data we collect.

 

Email address. We use this information to provide a better client experience by sending appointment confirmations and receipts. We will also use the client email for marketing from time to time. Please be assured we do not bombard you with emails and that you can unsubscribe from these at any time.

 

Full name. We use this for appointment bookings. We can then address you correctly in the salon and when making your bookings.

 

Date of birth. This is not only to help recognise you as a client (we do have clients with the same names!) it is also for in case of an emergency in salon, whereby the emergency services may need to be called.

 

Telephone number. We use this information to provide a better client experience by sending appointment reminders the day before your appointment. We will also use this to contact clients regarding anything in relation to your appointment in the salon.

 

Address. Again, in case of emergency whereby someone needs to be contacted at your address. We have also used this for gift vouchers to be sent in the post that have been purchased by friends/family etc.

 

Medical/Allergy/Health information. This enables us to perform all of your treatments correctly and safely. Some medications could react with some of the products we use or be a contra-indication to a particular treatment. It is very important that you keep us up to date with any changes regarding this.

 

Patch test information. This is required for some treatments, to ensure no allergic reactions occur. It is important for us to have this information accessable for client safety. Certain treatment cannot be performed without this information. 

 

Permission for photographs. We like to use some images of treatments for social media purposes, however we will NEVER take pictures without your permission. We will always ask you first and will not be offended in any way if you choose not to. During our Skin Analysis events you will be asked for this permission again. This enables us to keep track of your progress with treatments and product use.

Product/treatment history. This allows us to keep all treatments consistent. It also allows us to recommend products on previous product purchases/use. For example, with our skincare we use a step up program where by each level increases in ingredients. This ensures we are safely recommending the appropriate product for you to be using.

Consent. Through our Phorest Salon Software and on our paper consultation forms we will require you to read and sign a statement relating to the new GDPR (General Data Protection Regulations) to allow us to obtain and store this information in line with the GDPR.

 

Date/Signature. This confirms that you have read and answered all of this information.

It also means you agree to the ways that we hold and handle your data.

How we store your data. 

AT NO TIME WILL ANY OF THIS INFORMATION BE SHARED WITH THIRD PARTY COMPANIES FOR MARKETING OR PROFIT. All such information is stored securely in a locked filing cabinet(of which there is one key holder) and through our online salon system Phorest, which is all password and pin protected. Only staff members of SofieGeorgia have access to these passwords/pins. Certain areas are also restricted for management purposes only.

We use a laptop to use Phorest salon software which is password protected and encrypted. We use ipad/iphones for any images taken with your permission which are again password protected. These will either be stored on our laptop for social media use, or deleted from the iphone after use.

Through Phorest we are able to share any reviews you leave us through facebook and social media- only your first name is used for this. Leaving a review is through your choice.

How long we store your data for. We will store your data for 7 years unless asked otherwise. We keep this data to ensure the best possible service is given to you at all times.

Your rights. You have the right to be taken off our database at any time. To do this please contact Sofie at info@sofiegeorgia and await confirmation of this.

You have the right to access and amend any of your personal data at any time .

You also have the right to unsubscribe to any marketing material (emails, text messages etc) at any time.
